Dynamic groups
Groups that fill themselves by rules: department, job title, manager, start date and more.
How it works
Create a group, choose “By rules (dynamic)” and describe who belongs in it. For example, “Department is Sales” and “Start date in the last 30 days”. Membership updates on its own: whenever you add or change people, and every hour for rules with dates. You can require all conditions or any condition. Before saving, you see who matches, and ready-made templates help you get started.
Conditions
- Department: is one of / is not one of
- Job title: contains / doesn't contain / equals
- Manager: direct reports of a person / their whole team (including reports of reports)
- Start date: in the last N days / more than N days ago
- Group: in / not in a regular group
- Email: ends with (for example
@company.com) - Role: admin or learner
Do people stay in the group?
Normally, when someone stops matching the rule, they leave the group. For date rules (“joined in the last 30 days”) you can choose to keep people in the group, so a new hire doesn't lose their onboarding on day 31.
Typical setup: onboarding
- A dynamic group “New hires” with “Start date in the last 30 days”.
- A learning path “Onboarding” assigned to that group.
- Every new employee with a start date gets onboarding automatically. The admin doesn't have to do anything.
Dynamic groups are available on Business and Enterprise.
